Overview of the Vice Deanship:

The Vice Deanship for Academic Affairs is one of the principal pillars in the organizational structure of the College of Medicine. It is responsible for overseeing the undergraduate educational process and ensuring the implementation of academic regulations and policies in a manner that supports the quality of learning outcomes.

The Vice Deanship is responsible for organizing class schedules and examinations and overseeing students’ academic affairs, including registration, add and drop, withdrawal, and course equivalency. It also provides academic advising services and supports students throughout their educational journey.

The Vice Deanship also works to coordinate with academic departments and various units within and outside the College, contributing to the development of the educational environment, the integration of academic processes, and the enhancement of performance efficiency in line with the goals of the College and the University.

It gives me great pleasure to welcome you to the page of the Vice Deanship for Academic Affairs at the College of Medicine, which represents a fundamental pillar in organizing the educational process and overseeing the quality of its outcomes in a manner consistent with the College’s mission and strategic objectives.

The Vice Deanship seeks to develop the academic environment and enhance the quality of education through the supervision of study plans, the organization of schedules and examinations, the follow up of students’ academic affairs, and the support of academic advising and educational services to ensure a distinguished learning experience for students.
 

We are also committed to applying best practices in medical education and keeping pace with modern developments in education and technology, thereby contributing to the preparation of graduates who are academically and professionally qualified and capable of meeting the needs of society and the labor market

Responsibilities of the Vice Deanship: 

The Vice Deanship for Academic Affairs is responsible for supervising and organizing the educational process. Its responsibilities include the following:

  • Oversee the implementation of regulations and rules governing study and examinations at the undergraduate level
  • Supervise the units affiliated with the Vice Deanship and monitor their workflow..
  • Prepare class schedules and coordinate with academic departments and relevant entities.
  • Supervise the distribution of students among academic departments in accordance with approved regulations.
  • Supervise the organization and conduct of final examinations and form their committees.
  • Apply admission and transfer regulations within the College and academic departments.
  • Supervise the work of student committees and extracurricular activities.
  • Supervise the equivalency of students’ academic courses.
  • Follow up on requests for add and drop, postponement, and withdrawal from study in accordance with regulations.
  • Supervise the preparation of deprivation lists and graduation lists.
  • Organize the College orientation week activities.
  • Provide academic advising to students and monitor their academic achievement.
  • Prepare periodic reports on workflow and submit them to the Dean of the College.
  • Coordinate with the various College units on matters related to academic affairs.
  • Supervise the financial matters and entrusted assets related to the Vice Deanship in accordance with regulations.
  • Perform the duties of the College Council Secretariat.
  • Follow up on updates to the College website related to the work of the Vice Deanship.
  • Carry out any other duties assigned by the Dean of the College.

Units

Schedules and Examinations Unit: 

Responsibilities :

  • Review and organize practical and theoretical examinations in the College.
  • Coordinate with departments to prepare examinations and assign invigilators.
  • Verify results with departments before announcement and entry into the Banner system. 
  • Develop a question bank for theoretical and practical examinations in accordance with the latest internationally adopted systems.
  • Supervise academic schedules for the various academic years.

Student Affairs Unit:

Responsibilities:

  • Provide academic services to students and respond to their inquiries.
  • Follow up on student registration.
  • Monitor student attendance.
  • Prepare official correspondence related to students.
  • Coordinate with the deanships on student-related matters, as well as with academic departments.
  • Coordinate with the Deanship of Student Affairs in implementing activities organized at the deanship level.
  • Coordinate with clinics to conduct medical examinations for newly admitted students.
  • Follow up with the Deanship of Student Affairs regarding the receipt of student ID cards and student allowances and deliver them to students.
  • Issue ID cards for newly admitted students.
  • Identify and nurture student talents and organize appropriate courses and workshops for that purpose.
  • Supervise student activities in the College.
  • Organize student allowances and scholarships.

 

Academic Advising Unit:

Responsibilities:

  • Receive newly admitted students in the College and provide them with advice and guidance
  • Provide advice and guidance to students regarding research and academic standing.
  • Follow up on academically struggling students
  • Follow up on students prohibited from sitting examinations.
  • Follow up on students’ health and social cases and work to resolve any difficulties they face
  • Process absence cases supported by valid excuses
  • Review requests for course withdrawal or year withdrawal with students and work to assist them

Registration Unit:

Responsibilities:

  • Review student lists and distribute them to departments.
  • Register courses and resolve any scheduling conflicts that may arise for students
  • Process course add and drop requests
  • Provide information regarding the student’s academic status
  • Communicate with departments to identify and confirm lists of course coordinators
  • Facilitate communication between students and course coordinators
  • Communicate and coordinate with departments regarding grade amendments and send them to the Deanship of Admission and Registration
  • Follow up with the Deanship on recording student grades in the academic system Banner.
  • Follow up on transfer requests to other colleges and complete the procedures in accordance with the applicable regulations
  • Follow up on the entry of results into the system Banner with course coordinators.
  • Assist students expected to graduate and support them in completing procedures smoothly and efficiently
  • Carry out assigned tasks in light of new developments and requirements

E-Learning Unit:

Responsibilities:

  • Organize training courses in e-learning for faculty members in cooperation with the Deanship of Information Technology and E-Learning at the University
  • Coordinate with the Deanship of E-Learning and Distance Education regarding e-learning projects in the College
  • Organize training courses for students on how to use learning management systems
  • Provide technical support to College staff and target groups in all e-learning software applications
  • Organize seminars and lectures to promote the culture of educational technology and its programs among faculty members and students in the College
  • Conduct workshops for faculty members and students on e-learning applications, their importance and role in the educational process, methods of implementation, and the skills required to engage with this system.
  • Conduct periodic follow-up on the readiness of smart classrooms, meeting rooms, and display screens
  • Follow up on faculty members’ uploading of their electronic courses to the learning management system
  • Continuously evaluate e-learning in the College, participate in setting standards for assessing the quality of electronic courses, and follow up on their implementation
  • Identify the College’s needs for educational technologies, technological equipment, and modern devices and submit them to the Dean of the College for coordination with the Deanship of Information Technology and E-Learning to provide them
  • Update the College’s e-learning data and activities on the University website
  • Follow up on oral examinations and organize students during the examination process

 

Laboratories and Teaching Aids Unit

Responsibilities:   

  • Prepare studies on the College’s needs for laboratories, supporting equipment, and software in coordination with academic departments
  • Supervise laboratory Equipment in the College laboratories in coordination with academic departments
  • Follow up with companies regarding the supply of scientific equipment in coordination with academic departments
  • Coordinate with the relevant entities regarding the maintenance and operation of scientific equipment.
  • Develop plans for the improvement of the College laboratories in coordination with academic departments
  • Provide equipment and teaching aids that support faculty members in performing their teaching duties efficiently and effectively
  • Provide technical supervision of lecture halls, classrooms, and the main hall
  • Organize hall reservations when requested for events held inside or outside the College
  • Produce and develop educational programs and materials in accordance with the requirements of the educational process in cooperation with course coordinators in the College
  • Follow up on modern technological developments through the application of e-learning methods and other learning approaches
  • Participate in University events through the organization of specialized exhibitions
  • Carry out inspection and periodic maintenance of College equipment and various educational materials
  • Organize meetings and training courses for faculty members on the use of educational devices, software, and technologies
  • Conduct studies and research related to the development of teaching methods and the use of educational technologies in accordance with the latest scientific approaches
  • Organize specialized courses for faculty members to develop their skills
  • Employ e-learning methods and integrate them into the teaching process
